RIDGEVIEW, a not-for-profit community mental health center based in Oak Ridge, TN, has an immediate opening for a full-time Executive Assistant.

REQUIREMENTS

Bachelor’s degree in a related field or a minimum of 3 years of experience in a similar capacity. Non-profit experience is a plus. Excellent interpersonal, verbal and written communication skills. Ability to handle sensitive and highly confidential information. Excellent organizational skills, demonstrated ability to multitask and prioritize. Ability to interact professionally with various levels of management, including Board leadership. Detail-oriented and able to meet deadlines. Strong computer skills, including Microsoft Outlook, Word, Excel, and PowerPoint.


JOB DUTIES

The Executive Assistant (EA) serves as a liaison for internal and external stakeholders on administrative matters pertaining to the office of the CEO and Ridgeview’s Board of Directors. In addition to supporting the office of the CEO, the EA works closely with members of Ridgeview’s Administrative Clinical Team (ACT), Director of Development and Chief Safety Officer. The EA must have a high level of professionalism and be able to work autonomously and collaboratively in a fast-paced, time-sensitive and constantly changing environment.

  • Provide administrative and technical support to CEO and Board of Directors
  • Prepare confidential documents, distribute as required
  • Prepare and maintain all corporate documents for the Board of Directors in an accurate and timely manner, including board notes and meeting minutes from board and committee meetings.
  • Plan, coordinate, and prepare materials (monthly board packets) for all Board meetings.
  • Maintain a well-organized filing system for CEO records, facility licenses and board documents.
  • Manage CEO appointment calendar and inform of upcoming commitments and requirements.
  • Ensure pre and post meeting materials are presented to the CEO in a timely manner, including responsibility for requesting materials from internal staff and following up on outstanding submissions.
  • Provide as-needed administrative support for members of Administrative and Clinical Team (ACT), Director of Development and Chief Safety Officer as assigned by CEO.
  • Attend scheduled and assigned meetings to record, compile, transcribe and distribute minutes.
  • Serve on Team of Marketing (TOM) Committee.
  • Provide support for Marketing events by preparing invitation lists, tracking RSVPs and preparing name badges.
  • Support the CEO, COO and Director of Development at public events and appearances, as needed.
  • Maintain tracking logs, monthly, quarterly and annual summaries for Chief Safety Officer
  • Develop a general awareness of organizational requirements and challenges, using initiative to anticipate and problem solve.
  • Prioritize conflicting needs, handle matters expeditiously, and proactively follow through projects to successful completion under deadline pressures.
  • Monitor and respond in a timely and accurate manner to incoming general correspondence, email, and invitations, many of which may be sensitive or confidential in nature.
