Description

Ridgeview Behavioral Health Services, a not-for-profit community mental health center, based in Oak Ridge, Tennessee has an immediate opening for a Full-Time, Executive Assistant.  This position is based out of our main center in Oak Ridge, Tennessee.

Ridgeview has served the local Anderson, Roane, Morgan, Campbell, and Scott county communities for over 50 years and offers a friendly work environment where staff work together to provide high quality behavioral health services through prevention, treatment of mental illness and substance abuse, and support to improve the overall health, wellbeing, recovery, and hope of the people we serve. 


REQUIREMENTS

Bachelor’s degree in a related field or a minimum of 3 years of experience in a similar capacity. Non-profit experience is a plus. Excellent interpersonal, verbal and written communication skills. Ability to handle sensitive and confidential information. Excellent organizational skills and demonstrated ability to multitask and prioritize. Ability to interact professionally with various levels of management, including Board leadership. Detail-oriented and able to meet deadlines. Strong transcription skills and computer skills, including Microsoft Outlook, Word, Excel, and PowerPoint.


JOB DUTIES

The Executive Assistant (EA) serves as a liaison for internal and external stakeholders on administrative matters pertaining to the office of the CEO and Ridgeview’s Board of Directors. In addition to supporting the office of the CEO, the EA works closely with members of Ridgeview’s Administrative Clinical Team (ACT), Director of Development and Chief Safety Officer. The EA must have a high level of professionalism and be able to work autonomously and collaboratively in a fast-paced, time-sensitive and constantly changing environment.

  • Provides administrative & technical support to Ridgeview's Board of Directors and is point of contact for board members
    • Prepares confidential materials, documents, and minutes of Board meetings
    • Assures that all approved Board actions are documented in a timely manner and filed appropriately 
    • Coordinates service of meals and communication of meeting details as required
  • Provides administrative and technical support to the CEO
    • Reviews and prepares confidential materials and documents (spreadsheets, letters, presentations, email notifications) for Ridgeview’s Board of Directors and for Ridgeview internal/external meetings
    • Maintains Outlook calendar
    • Coordinates travel – hotel and vehicles
  • Serves on the Team of Marketing (TOM) Committee.
    • Generates ideas for Ridgeview initiatives
    • Volunteers for Ridgeview community-based initiatives, attends Ridgeview sponsored Mental Health events, and attends partner and community site visits
  • Safety Support Services
    • Inputs monthly incident information into tracking and summary log and submission to Chief Safety Offer quarterly and year end
  • Submits requests for pre-authorization requests for Level 2 Case Management (CM)
    • Reviews pre-authorization request documentation
    • Submits requests and notifies CM of submittal request
    • Updates spreadsheet and database with authorization information
    • Follows up and communication within standard timelines
  • Prepares letters, memos, presentations, marketing materials, and spreadsheets as needed for the Executive Leadership Team
  • Prepares marketing materials for Ridgeview Programs and mailings as required by the Director of Business Development
  • Maintains and updates the Policy and Procedure database folder for all Ridgeview Programs and Services
  • Attends scheduled and assigned meetings - record, compile, transcribe and distribute minute
